Fair charges for copying

From Mark Fenteman

Assistant practice manager, Leeds

Re-the recent correspondence about records copying: we had a case where a patient had eight Lloyd George files to copy. It took six hours, costing £37.20 in staff time, £3 in paper and £6.74 for recorded postage – a total of £46.94. So we decided to charge £50 for every single request of photocopied notes to compensate for cases like this.

We now scan rather than photocopying the whole record (we use PCTI). This helps if a request comes in from another solicitor, as it often does.

We then just have to print the record off for the same fee. Leave it to the discretion of the person doing the work how much to charge.
